Deadlines

  • Please provide the requested information or perform the requested task by the due dates in the SPEAKER ACTIONS REQUIRED CHECKLIST (below).
  • Please review all sections of the Speaker Portal (even if you have spoken before, as there may be changes from previous events) which contain all you need to know about being a speaker at DSEI Japan, including important instructions about your Slides formatting and submission.
  • To assist us with locating emails from you, where possible please include “DSEI Japan 2025 (Ref:<session reference code>)” at the start of all email Subject lines.

Speaker Actions Required Checklist

  • Provide details of confirmed speakers for your session:
    • Title
    • First name
    • Last name
    • Job title
    • Organisation
    • E-mail
    • Mobile Phone nbr

    • Access requirements
  • Confirm the title of your sessions
  • Provide a synopsis of what the session/your contribution will cover
  • Provide Speaker/s upper shoulders and full head photograph
  • Provide Speaker/s short biographies (up to 100 words)
  • Confirm the desired format of the session (i.e: presentation, fireside interview, panel with your partners etc.)
  • Confirm if the presentation will include a video

All speaker details must be shared with the DSEI Japan team so your details can be added to the website, digital signage, event app, etc.  Any details submitted after this date will not be added to the website, digital signage, event app.

 

As soon as possible / 12th May 2025 latest

 

Submit Slides to be translated from English to Japanese or Japanese to English. Any slides submitted after this date will not be available in English and Japanese.

All slides must be shared with Clarion so the translator and AV teams can be briefed fully on the session requirements.

Please note: If you are an Exhibitor and you or your company have registered you via their Ezone login you do not need to register again.

As a speakers we welcome you to DSEI Japan free of charge, but all attendees must register for the event in advance to receive their entrance badge.

Please use the following speaker specific link HERE to register.

Please do not share the link as speakers' tickets are limited and  verification checks are made on each application.  Support staff should register using the standard registration page.

 Please note:   

  • Once you have registered you will receive and email with a link to your personal Registration Visitor Portal. From here you can view the status of your registration application, request a visa letter, upgrade or add products to your order, and this is also the place where you will download your E-Badge from. Please do check your Junk folder for mails from our registration team.

  • Your badge will give you complimentary conference access for ALL days.

  • Approximately two weeks before the event you should see a ‘E-Badge download’ button in your Registration Visitor Hub, at which point you will also receive an email to inform you that your badge is available to download from there.

If you have any relevant blog posts, press releases, or articles which you are happy share for republishing on the DSEI Japan website and social media channels, please click here to send them to our team.

Interviews are also a great way to promote your session. If this is something you are interested in, please click here to let us know and we will put you in touch with our PR company. They will conduct a phone interview with you and write it into an article which you can share.

Press/Media

There will be members of the press/media in the conference rooms, and as standard, everything said will be ‘On The Record’. 

If you wish your session to be Off The Record, you will need to announce that as you take the podium. All press/media have been instructed that the that each presentation will be 'On The Record' unless the speaker announces they wish it to be 'Off The Record'.

Presentation Guidance

Presentation Guidance

If your session consists of a panel, you will be required to take part in a preparation call with the moderator and fellow speakers to ensure smooth running of the day.  

If you want to incorporate slides and/or videos into your presentation, please follow the instructions below:

  • The deadline to provide slides/videos is 2nd May 2025.
  • Email presentations by clicking HEREInclude your session ref and last name in the file title
  • Presentation slides should be in an Adobe .PDF format and 16:9 ratio for optimal viewing. If your presentation includes video content, please embed it in the presentation slides and provide it in PowerPoint .PPTX format.
  • For large files, please send them using your preferred file transfer site, or www.wesendit.com , www.wetransfer.com 
  • We request that all presentations to be given in English or Japanese.
  • If you have any specific Audio/Visual requirements, i.e using your own laptop, contact us by clicking here.

 

Simultaneous translation

We request that all presentations will be given in English or Japanese.

All sessions will be simultaneously translated from Japanese to English and from English to Japanese at all times. The theatres will be equipped with audience headphones that will feed the live translation of the speech on stage directly to the headphones.

Industry speakers: Business attire.

Serving military officers: Military service dress without medals recommended, unless you have been otherwise directed. Keynotes typically wear no.1 service dress or individual service equivalent. It is understood that it may not be possible to travel in uniform due to security reasons. Complimentary changing facilities are available.

Arriving for your session

There is no need to check in at the Speaker Lounge upon arrive at the event.

Please ensure that you arrive at the AV desk at the back of the theatre 20 minutes before the start of your session. This gives us time to properly set up the microphones for you, ensure we have the correct slides, and introduce you to the moderator. 

 

Access

Free Wi-Fi is available on the boulevard at Makuhari Messe but not the show floor.

Legal Restrictions

Legal Restrictions

Speakers should be aware that there are some topics which are subject to licensing restrictions. In the case of Category A goods, a valid Standard Individual Trade Control Licence (SITCL) must be obtained from the Export Control Joint Unit by the Speaker prior to the event.

This restriction applies to all forms of promotion, including conference content, the distribution of brochures or other promotional material which features images or details of any Category A goods.
